Proper Documentation

1.Each mail bag should contain the exact number of mails as listed in its Manifest.
Upon arrival from linehaul, receiving station must cross check to ensure that the mails and the Manifest list tallies.

2.Linehaul should be given a master manifest copy indicating the number of mail bags and parcels to be dropped at a particular station.

Receiving station may want to keep a record of bags and number of parcels inbound on that particular day. This ensures easy tracing when there is an argument about missing or extra bag etc.

3.Some courier services insisted that POD copies should be returned to sending station with the week. Others return the POD copies on the next day. However, some keep until end of the month. POD copies is a very important proof of delivery.

4. Daily Runsheet is another good proof of delivery. Try as much as possible, keep the runsheet for three months.....to back up any quiries in the near future.
